✳ THE HELM JOURNAL

How long does it take to deploy an AI customer service agent?

With Helm, a first, single workflow is typically live within five working days once you send what we ask for. Broader scope, integrations or enterprise review take longer.

The short answer. With Helm, a first, single workflow is typically live within five working days once you send what we ask for; broader scope, integrations or enterprise review take longer. What Helm asks for is usually one file, such as an appointment book, a price list or an admissions calendar, and the written pilot agreement sets the milestones.

What happens before the build starts?

Three conversations and a decision. The pilot page sets them out:

  1. Diagnose. Choose one recurring workflow. Understand its volume, its current process and the cost of the gap. Output: a Workflow Opportunity Memo.
  2. Scope. Agree the systems, the information, the approval boundaries, the named owner and the baseline. Output: a Scoping & Deployment Brief.
  3. Decide. Agree a paid pilot, its delivery milestones and the evidence you will use to judge it. Output: an agreed pilot and success measure.

The first conversation is a diagnosis of one workflow, not a demo, and the memo is yours either way. The five working days start once the inputs arrive, not at the first call.

What does Helm need from us to start?

One file, usually. Each industry page names it. Clinics and hospitals send the appointment book. Schools and universities send the admissions calendar. Spas and salons send the price list. Fine dining sends the reservation book. Fast food and delivery send last Friday's inbox. Car dealers send the price list and the showrooms. Insurers send the claims flow. Football clubs send the fixture list. Real estate developers send the launch calendar. Enterprise and public-service teams send the contact form.

If your data is not ready, scoping finds what is available and what needs preparation. A sheet, a calendar, a price list or a published FAQ may be enough for a focused first workflow.

What is live at the end of those five days?

A working desk on your own number, answering, booking and reporting live, and the number Helm would move. Helm connects your number to the WhatsApp Business API, or works with the one you already have. It writes and submits the WhatsApp message templates as part of the build, and most are approved the same day.

The agent starts with what you already use: a shared sheet, a calendar or your own system. Deeper integration is agreed during scoping.

What makes a deployment take longer?

Three things: broader scope, deeper integrations and an enterprise security review. Helm sizes the work to match. Launch is one agent, one workflow, a clear owner. Scale is several agents, connected teams and tools, and deeper integration. Enterprise is a scoped deployment with security review, procurement and integration requirements planned in.

Deployment-specific security, data handling, export and enterprise source-code escrow requirements can be discussed during scoping. The written pilot agreement defines the milestones.

Do we need a proof of concept first?

Not a separate one. The paid pilot is the focused evaluation. The workflow, its boundaries, the delivery milestones and how success will be judged are agreed before implementation. Business results also depend on your data, the workflow and your team's adoption, so review and restructuring terms belong in the written agreement.

What happens after launch?

The workflow keeps a named engineer and ongoing review. A first workflow is a start, not the whole scope. At Care Clinics in Cairo, the booking workflow handled 468 conversations to 4 September 2026 with none left unanswered; the follow-up for patients who go quiet started later.

When is Helm not the right choice?

If quick answers to common questions are all you need, try Meta's own AI agent on the free WhatsApp Business app first. If you have a few dozen messages a week and someone with time to build, a self-serve builder fits better. And if nobody on your side can send the file or own the exceptions, no timeline holds, ours included.

Helm builds the workflow that does this work in production, in your channels and your systems.
