Can a WhatsApp AI agent take a booking deposit or a payment?

Yes, where the workflow calls for it. Helm sends a deposit link in the WhatsApp thread under a no-show rule agreed in scoping, not invented by the agent.

The short answer. Yes, where the workflow calls for it: a WhatsApp AI agent can send a deposit link in the thread and hold the booking against it. Helm builds this as one of its standard patterns, and the rule that triggers the deposit is agreed in scoping, not invented by the agent.

How does a deposit work inside a WhatsApp conversation?

On a Helm workflow the sequence runs like this:

  1. The customer asks for a slot, a table or an appointment, often after closing.
  2. The agent reads availability from your book or calendar and offers only what it can see.
  3. If the booking meets the deposit rule agreed in scoping, the agent sends a deposit link in the thread.
  4. The slot is held against the deposit, and the confirmation is sent in the same thread.
  5. A reminder goes out the day before. If the customer cancels, the hold is released on time.

The result is written back into the calendar, payment and operations systems your team already runs.

Why take a deposit at all?

Because it is what removes the no-show. Helm's fine-dining page names the usual case: large-party requests arrive overnight. A salon's most common message is the price question, and most arrive after closing, so the price from the list and the next free slot go in the same message, and the slot is held with a deposit.

Which businesses can take a deposit or payment in the chat?

Helm's industry pages describe the pattern where it fits. Clinics and hospitals: the right doctor, branch and slot, held with a deposit, with no clinical advice given, and a deposit link only if the clinic takes one. Spas and salons: deposits against no-shows, held with a deposit, reminded the day before, released on time if she cancels. Fine dining: reservations with deposits for large parties, availability read from the book, the deposit held, the confirmation sent. Schools and universities: requirements, documents and the fee collected in the thread, receipt issued. Football clubs and venues: availability read from the ticketing system, the purchase made in the thread, the confirmation sent.

Who decides when the agent asks for money?

You do, per workflow, before the build. What the agent may do alone, what needs approval and what goes to a named person is written down and signed. The money rules are specific. A salon agent never invents a price outside the list. A school agent quotes fees only from the published schedule. A delivery brand's agent never promises a refund or a free item; the refund decision is left to a person.

Does WhatsApp allow an agent to send a payment link?

On the WhatsApp Business API, yes, and you need the API for anything automated at volume. Inside twenty-four hours of a customer's last message, the agent can write freely, and that window is where the booking is made and the deposit link goes out. Outside that window WhatsApp only allows a template Meta has approved in advance. Helm writes reminders and confirmations as utility templates and agrees each one with you before it is submitted. More in what the WhatsApp Business API is.

What has Helm counted on deposits so far?

Nothing published yet. The spas and salons and fine dining pages both say «First entry after the first pilot». Each names the number it will publish before the build: deposits held and no-shows for a salon; covers booked, deposits held and large-party no-shows before and after for a restaurant. On the clinics page, the number is booked and attended, with no-shows counted against the deposit rule.

When is Helm not the right answer?

If no-shows are rare and you take payment at the counter, a deposit rule has nothing to fix. If a business has a few dozen bookings a week and someone with time to connect a payment link to a self-serve builder, that will do the job. Helm fits when the volume is high and no-shows cost you. The FAQ covers the rest.

Helm builds the workflow that does this work in production, in your channels and your systems.
